Business Office
The West Springfield Public Schools (WSPS) Business Office oversees the district’s financial and operational functions in collaboration with principals and department heads. Oversight of these functions ensures the school department’s compliance with federal, state, and local laws as well as policies set by the School Committee. By managing these aspects, the Business Office supports the district’s implementation of its strategic plan while maintaining fiscal and operational efficiency.
Key responsibilities of the Business Office include:
- Budget Development and Financial Management: The office plays a central role in developing the district’s budget, ensuring alignment with educational goals, and maintaining fiscal accountability. This includes forecasting, monitoring revenues and expenditures, and preparing financial reports.
- Accounting and Fiscal Oversight: The office manages the district’s financial records, overseeing day-to-day accounting operations, ensuring proper tracking of all financial transactions, and maintaining transparency and compliance with state and federal regulations.
- Payroll and Benefits Administration: The Business Office processes payroll for all district employees, including teachers, administrators, and support staff. It also coordinates with the Town on employee benefits, such as health insurance, retirement plans, and other compensation-related matters.
- Procurement and Purchasing: It manages the procurement process, including acquiring goods and services for schools and departments, ensuring competitive bidding processes and compliance with local policies and regulations.
- Grants Management: The office oversees the management of state, federal, and private grants, ensuring funds are properly allocated and spent in compliance with the terms of the grants.
- Facilities and Capital Projects: This office also plays a role in managing school facilities, ensuring maintenance, repairs, and capital improvement projects are completed efficiently and safely.
- Compliance and Audits: The office ensures that the district complies with all applicable state and federal regulations, managing audits, both internal and external, and implementing necessary corrective actions.
